Course 15: GARP Project Team Meeting Notes

Agenda:
The meeting goal was to discuss the business process
by which Course 15 decides and processes student funding in the form of FE,
RA and TA.
Sloan is one of the schools at MIT that processes
the highest volume of TA’s. The Dean’s Office provides each academic area (BPS,
EFA and MS) a base allocation, which is then distributed among the subjects
taught by each area. The allocation per subject is based on the following data:
- Subject enrollment (by section)
- Historical data (enrollment and previous TA allocations)
- Subjective information (course load)
In addition to this information, Sloan needs additional
data to facilitate their reporting needs:
- Subject enrollment (by section) and by student
profile (student’s whose primary, secondary or tertiary course of registration
is Course 15.
- Detail of TA appointments by Academic Area; since
the TA allocation is distributed by Academic Area and by sub-group, the Finance
and Administration Team is required to provide a variance report at this level
of detail.
- Even though this request is out of this project’s
scope, it would be nice if one area of the system captured thesis-related
information such as: thesis submission date, thesis supervisor, for other
departments à does it entitle a stipend
raise?
Capturing this information is critical for Sloan’s
operation. This department is constantly required to provide variance reports
that require including the level of detail provided above.
Pie in the Sky: (Maria’s thoughts)
- Get a better understanding on how the subfund
process works and figure out if it would be useful to Sloan’s fellowship award
process.
