Email Migration Project at MIT

Mission
- Develop repeatable procedures for migrating Email from Eudora
to Outlook (Express), Outlook 2003 and Apple Mail.
- Identify tools to assist migration.
- Set up method to coordinate scheduling with other CSS services, like DITR maintenance and SLAs.
- Create any missing documentation and enhance existing documentation to support the migrations.
- Identify and develop training needs (short & long term needs), in addition to demonstration style presentations.
- Develop a communications plan to CSS, IS&T and the broad MIT Community. This should include the content that will need to be communicated.
- Establish estimated unit costs in terms of time, resources, etc. and develop possible scenarios for overall expected costs.
- Gather significant community input (including offer to participate) as to the solution needed and the applicability of the solutions.
- Establish a way to track migration support effort and costs so that when the migration is finished we can understand and document the costs.
- Determine if there could be significant impacts on the migration process.
Timeline
- Email migration started during IAP 2006 and is expected to continue throughout the summer months. Migration tools, documentation and scheduled events such as quick starts and webcasts of the email migration process are available to the MIT community..
FAQ's
Why should I migrate?
IS&T is gradually phasing out support for Eudora in favor
of focusing its support resources on more functional and popular
IMAP email applications including Outlook Express, Outlook
2003 and Apple Mail. We are not planning to create customized
installers or documentation nor dedicate Help Desk support
resources to develop specific knowledge and expertise for
future releases of Eudora including version 7.
Will kPOP email programs such as Eudora in POP mode continue
to work at MIT?
Will the kPOP protocol be turned off on our mail servers?
There will continue to be operational support for using kPOP
email programs with the MIT email servers. The kPOP protocol
will not be turned off on our mail servers. However, end-user
support and help for these programs is being phased out in
favor of IMAP-only clients (Outlook, Apple Mail, Evolution)
and Eudora in IMAP mode.
Can I stay with Eudora?
If you are compelled to stay with Eudora, it is recommended
that you upgrade to IMAP. Recent versions of Eudora have been
mediocre at best and users are encouraged to migrate to a
more robust and stable email application. We are not planning
to create customized installers or documentation nor dedicate
Help Desk support resources to develop specific knowledge
and expertise for future releases of Eudora including version
7.
What is kPOP and how is it different from normal POP?
kPOP is MIT's implemented version of POP as it ensures authentication
while retrieving one's email. Post Office Protocol (POP) is
the basic protocol. MIT's mail servers only support kPOP.
Why Apple Mail, Outlook Express and Outlook 2003?
These recommended email applications are IMAP email clients
and other than Outlook 2003, come installed as part of the
operating system, are robust and stable and are updated automatically.
Automatic updates and security fixes are applied directly
through software update for Apple Mail, Microsoft Windows
update or WAUS (if configured) for Outlook Express and Microsoft
Office update or WAUS (if configured) for Outlook 2003. No
need to run a separate installer to obtain new versions.
Can I use Webmail:
Absolutely. With Webmail, you have access to MIT email
through almost any web browser on almost any computer, almost
anywhere in the world. Access to the MIT email servers is
over a secure, encrypted link.
Can I use Outlook with POP?
While Outlook supports the generic POP protocol, MIT uses
a more secure version which incorporates the Kerberos authentication
system. This protocol is often referred to as kPOP for short.
Outlook does not support Kerberos authentication or kPOP.
However, you can easily configure Outlook to mimic the POP
behavior of copying messages from the mail server to your
local Inbox, even if you are using the newer IMAP protocol.
Can I keep my mail on my local computer with IMAP or Outlook,
instead of storing it on the server? I liked this aspect of
Eudora and kPOP.
Yes, you can configure any IMAP email program (Outlook, Apple
Mail, or even Eudora in IMAP mode) to behave similar to the
way a POP-based email program does in this regard, by having
it copy all of your mail to your local computer and removing
it from the server. You will still retain some of the advantages
of IMAP, for example being able to browse and folders you
have on your mail server, such as Spamscreen, and being able
to move messages back to the IMAP server if you need to access
them from another computer.

IS&T offers the following services for your email migration needs. Some forms of assistance are fee based.
- Centrally Located Services (in N42)
- Attend scheduled Quick Start classes on Outlook Express, Outlook Pro 2003 or Apple Mail. For a listing of scheduled quick starts, please see the IS&T Training Schedule . No fee, however, it is important that users review the prerequisites below.
- Schedule an appointment with the Computing Help Desk to bring in your laptop or desktop. Consultants will migrate existing Eudora users by importing their existing email from Eudora (POP) to Outlook Express, Outlook Pro or Apple Mail (IMAP). There is an associated fee of $60 an hour for services rendered.

Key Decisions
Recommend to users who may have installed Oracle Connector for Outlook to uninstall it prior to migrating email from Eudora to Outlook Express and Outlook 2003 respectively. Once the migration has been successful, users may then download and install OCFO. The migration process from Outlook Express to Outlook 2003 with OCFO installed has failed in some instances.

Issues
For users who desire to utilize Oracle
Connector for Outlook (OCFO), a Microsoft Outlook Professional
Add-in that enables users to access their TechTime calendars through
Outlook, it is recommended that this NOT be installed prior to
migrating from Eudora - Outlook or Outlook Express to Outlook. It has been found the conversion/migration
process becomes complicated and often time fails. For machines with multiple users, it is recommended that the machine be checked to ensure OCFO is not installed by going to the Add/Remove program control panel.
