UA Executive Meeting Minutes from September 30, 2009 1 Call to Order The meeting was called to order at 7:02 pm. 2 New Committee Chairs Two new committee chairs: Aaron Liu for Communications Chair and Shee Shee Jin for Space Planning Chair. 3 September Student Holiday Motion We've been working on this for about two years. Still resolving issues with several faculty/administrators Need to develop opportunities for frosh/soph Experimental versus permanent Career fair should be run by Career Office Why not move the career fair to Friday? No other school has a career fair on a Friday. Vote will be at November faculty meeting. 4 Elections Tell everyone you know to vote. Electronic ballots are running through tomorrow night; paper ballots in Lobby 10 from 9:00 am to 4:00 pm Friday. Ballot issues (such as incorrect living groups) should be sent to ua-elect@mit.edu. Please correct all errors before casting your vote because once you cast your vote, you can't fix it. Last year's elections had a 20 percent turn out; let's improve this to 40 percent participation this year. 5 Task Force on Student Support Services Liz Denys is the undergraduate representative to this committee. Send her feedback about Student Support Services at ua-secretary@mit.edu. The committee is evaluating S^3's current functions, structure, and trying to improve S^3. We want S^3 to serve students, faculty, all related Institute Committees, and anyone else as best as possible. 6 Committee Action Items Make sure you: Respond to applicants. Interview applicants. Update your webpage. Update your email list. 7 Student Engagement Committee Discussion topics Budget Task Force: do we need to do more outreach to students? Goals for 2009-2010: fixing student representation to Institute Comms Undergraduate Membership 8 Plan for Budget Task Force Report Summaries One paragraph unbiased description of recommendation Collected from chairs IT made web framework for feedback Email to undergraduates is going out tonight Read over the website to check that yours are correct: ua.mit.edu/taskforce Position Pieces One page: one-third where undergraduates stand on this issue, two-thirds on best implementation for undergraduates Due on October 10 Presented for approval at Senate on October 12 Distributed that week to pertinent administrators: EVP, Chancellor, and Provost; Coordinating Committee for the Institute-wide Planning Task Force; chairs of all Institute and Presidential Committees Goal is to come up with twelve or so issues that are major issues and completely oppose about five. Town hall style meetings hosted by the UA might be useful to raise awareness about issues in more details. 9 General Announcements Accreditation Monday 5-6 pm in 32-141: Go to this if you can, and encourage other students to go, too. Athletics Weekend is this weekend: attend and encourage others to attend, too. Senate Meeting Monday 7:30: Student Deans will be there. Committee Chair or Vice Chair must be there for every committee unless absence is approved by Mike Bennie or Maggie Delano. Budgets are also being discussed then, so if you have anything possibly controversial in your budget, you should stay to defend it. 10 Adjournment The meeting was adjourned at 8:01 pm.
