Constitution of the MIT Women's Rugby Club Article I: NAME The name of this organization shall be the MIT Women's Rugby Football Club. Article II: OBJECTIVE The objective of the MIT Women's Rugby Football Club shall be to promote the sport of rugby to women members of the MIT community. The Club shall actively encourage teamwork, athleticism, and good sportsmanship on the rugby pitch and off. The Club will strive to act in accordance with the USA Rugby rules under the coordination of the New England Rugby Football Union. Article III: MEMBERSHIP There shall be one class of membership. To become a member at any time of the year you should come to practice, and the practice schedule is on the group website. The group follows the MIT Nondiscrimination Policy. The group must have at least 5 MIT students and be at least 50% MIT students. Article IV: OFFICERS [1] The officers of the MIT Women's Rugby Football Club shall be at least President, Treasurer, Match Secretary, Publicity Chair, Social Chair, and Captains. [1.1] The President and Treasurer must be distinct people. [2] The officers shall be current MIT students. [3] The term of office is from one election to the next and elections occur at the end of the fall season. There must be a quorum of two thirds at elections. The election process is by Robert's Rules. [4] Removal: Officers may be removed by a two-thirds vote of the members Article V: OFFICER DUTIES [1] President -Responsible for general club operations -Oversee monthly executive board meetings -Liason to school administrators and Club Sports Council (CSC) -Attend CSC general body meetings and reactivation meeting or get someone else to attend -Likewise NERFU AGM -Ensure that club is in compliance with school and USA Rugby rules (CIPP) -Fill out/get filled out appropriate forms (roster, CIPP, CSC reactivation, anti-hazing) [2] Vice President -Assist the President with presidential duties -Back up all other officer positions [3] Treasurer -Responsible for club finances -Purchase necessary team equipment -Submit budget to CSC each year to request funding -Pay Officials fees (referee society, conference dues, EMTs, trainers...) -Process reimbursements for gas and tolls for away games, and rental cars, if necessary -Process stipends for coaches -Collect member dues [4] Match Secretary -Contact match secretaries from other schools to schedule games -Requests for spring season referees (home games) -Reserve field for home games -Request EMTs for home games -Responsible for providing directions to our pitch (link on homepage) and obtaining directions to opponents' pitches -Organize annual Prom Dress game [5] Social Czarinas -Post home game hosting of competitor -End-of-season banquet/team dinner -Team social gatherings [6] Captains -Help run practices, especially when the coach isn't there -The captains and the coach select who is playing and what position for every game -Communicate with referees on behalf of the team during matches -Inform the team of major occurances or changes during a match -Decide things like scrum or lineout from an infraction and do the coin toss at matches [7] Publicity/Recruitment -Promote club / invite fans to matches -Maintain bulletin board -Publicize in MIT papers (sports at the-tech.mit.edu) -Responsible for general recruitment -Freshman mailing (FYSM) -Booth at Athletic Midway during Orientation and CPW -Campus postering [8] Alumnae Liason -Email regular updates to wrugby-alum at mit.edu -Update alum page and mailing list (wrugby-alum@mit.edu) -Organize annual alumni game [9] Equipment Manager -Responsible for upkeep of gear -Keep track of, bring to games, and wash the jerseys -Set up and take down the field for home games - goalposts, flags, sideline ropes -Bring the balls and any other necessary equipment to each practice and game [10] Fundraiser/Tour Director -Organize at least 2 fundraisers a semester -Plan the Spring Break Tour [11] Webmistress -Update the website -Update email lists Article VI: MEETINGS A general meeting of all members should be held at the beginning and the end of each academic term. There must a two thirds quorum. Article VII: AMENDMENTS This constitution may be amended by majority vote of the members of the MIT Women's Rugby Football Club. There must a two thirds quorum. Article VIII: ASA GOVERNANCE CLAUSE The Women's Rugby Club agrees to abide by the rules and regulations of the Association of Student Activities, and its executive board. This constitution, amendments to it, and the by-laws of this organization shall be subject to review by the ASA Executive Board to insure that they are in accordance with the aforementioned rules and regulations.
