Approval of previous week's minutes. (SECRETARY) AND: I haven't sent out last week's minutes yet, so they're not up for approval. I'll get that rectified after the meeting. ---1. TERMCOMM (Q)--- Q: With included, using the pricing of for (since is contingent on it being the same price as ) and assuming doesn't get funding, the cost is $7200. AND: Do we want to include ? We're not going to show it if the UA doesn't pay for it, right? Q: Right, so without , it's $6100. BDT: Are we going to show if the Sloan African Business Conference (ABC) doesn't fund it? KAM: It's $450, about $500 with shipping. I think we should, it's still popular and people continue to talk about it. Q: I agree. JNH: The Sloan ABC was thinking about showing the short film, having a speaker, and then showing , but that would probably be too much of a time commitment. Q: A speaker is fine, but we couldn't figure out who has the rights to the short film. Do he want us to try to get a speaker? JNH: He says he was going to try to get in contact with a speaker. Also, he doesn't have any problems with selling refreshments. BDT: Could we get The Hobbit funded partly since it's during CPW? Q: We could ask for funding, but I definitely want to get funded in April. KAM: If we get it funded, it'll have to be free, which means no one will come to the paid showing before hand. AND: I think before we were considering having it free for pre-frosh only. Q: That's true, and we were also considering offering it free if people came IMPRESSIVELY dressed-up. Q: I move to approve Termcomm. BDT: Second! Motion passes by whiteballot. APPROVED SCHEDULE: Feb 4 (Reg Day)/8/9: Feb 12: Chomsky/Gondry Event Feb 15/16: Feb 22/23: NO SHOWING (Bad Taste) Mar 1/2: Mar 8/9: (if it's <= price of $850) Mar 16/17: [regardless of funding from Sloan ABC] Mar 23/24 & 29/30 SPRING BREAK Apr 5/6 & 14/15 (CPW Weekend): Apr 19/20: Apr 26: [only if UA agrees to sponsor it] May 3/4: May 10/11: --- 2. POSTERING (DAS) --- Q: DAS is feeling under the weather and couldn't make it, but she had some questions about the poster. 1) What are the times for the pizza break and the special surprise, since they're apparently different? 2) Should breakfast be on the poster? AND: According to ISL's email, pizza is at 11:45p and the special surprise is at 12:30a. M: On the website, it has the pizza and surprise at 12. Q: It's probably okay for her to go by what's on the website. M: I agree. Q: What about breakfast? M: Breakfast can be mentioned on the poster in a smaller font, but it doesn't have to be a specific time. JNH/V: Do you know when they'll be printed? Q: They're almost done, so by the end of the week...? HA: I'm going to print them. V: Do we know what time the posters come down? Q: I know it's on a Monday and Thursday, and I believe it's in the evening. We can do a midnight postering run. HA: It's not exact, though, sometimes, they're not down to 4 am. I can try to poster on Friday morning. Q: Great, so I'll make sure we get other people to poster as well. --- 3. SCREENINGS (Q/BDT/V) --- Q: We're waiting on confirmation for when the films will get here. I'll make sure that V knows when that will happen. They're supposed to ship on Friday, so I don't know when it will arrive. V: They should be here by Wednesday then. AND: That week we have Tuesday, Thursday, and Friday for screenings. M: I assume I'll be down for a screening, which is fine with me. --- 4. GONDRY/CHOMSKY ROOM CHANGE (AND) --- Q: So we're going to have to show in 26-100? AND: Well, I'm not sure. ZEK mentioned that the projector in 26-100 is broken. V: Still? M: We haven't been in there recently, so it may have been. It'd be good to check with A/V to see what's the schedule on that. AND: Even if it's fixed, there's also the problem that the projector isn't really that great. V: It has a horrible green tint. Q: And what about changing the date? AND: I don't really think we can do that. Michele said she wanted to reserve spacing for 30 people they were bringing and I really don't want to try to re-arrange travel arrangements for all those people. We definitely can't have it in 10-250 because the President's Office is having an event there, so it has to be some other room. M: Yep, they have first call on everything. We can't really tell the president to move, so we're going to have to take what schedules gives us. AND, did you end up calling him? AND: I did. He said they had 10 days to pick from, and they decided to pick that one. He emailed them after I emailed him to ask if they really wanted to do the event opposite Noam and they said yes. As for 32-123, the Biology Colloqium has it until 6pm. After that, it's on reserve by another group, but they have it for multiple days and he's not sure they're using it for that particular day still. If we really want to do there, he can ask if they'd consider letting us use it. Q: Where is 34-101? BDT: It's a terrible room. V: It's near Stata. M: They have a lot of Course VI events there. v: The interesting thing about it is that the screen is above the blackboards, but the seats are on the ground, so you have to look up to see the movie. Also, according to JAH, the booth is on the left side of the room, but the screen is in the center. AND: ZEK/JAH suggested renting the possibility of renting a projector, do we know what much that would cost? If we do it in 26-100 we won't have to hire MIT A/V anymore, so we still have the $345 from Council from the Arts to spend on renting the projector. V: I'll check with A/V about when the bulb will be fixed and about renting a projector. M: We usually use a PS3 to project the movie, but we now have a Blu-ray player that's in 26-100. From what I remember, Blu-ray's do look really sharp on that projector. AND: Edwinda in the Media Lab has a screening copy of the film on BD. I can get the Blu-ray from her and we can see how it looks on the projector. V: That'd be good, thanks. --- 5. PERMPASSES --- Executive Session END: 7:55P (does not include Permpass discussion)
