Personnel menu options

Personnel menu options -- Display, Degree Info, Biographic Info -- provide for:

  • viewing personal detail about an investigator or co-investigator in your department or a related department
  • updating investigator's most recent degree information
  • creating and maintaining an investigator's resume, project activities, and publications in Word or PDF format -- within Coeus

Coeus uses a copy of the most recent information from the Personnel Office. If you enter more recent degree information in Coeus, it does not affect Personnel Office data.

Display

View Person Detail window -- tabs show the following information about a person:

Email address, office location and phone, title, unit number and name

Personal

Birth date, education level, school, graduation year, citizenship, visa, major, degree

Handicap and veteran status, personnel category, vacation accrual

Degree Info

Person Degree window -- allows you to add, modify, or delete information about a department person's most recent degree.

Biographical Info

Biography for ... window -- allows you to add a person's resume, publications list, etc., in Word or PDF format, into Coeus.

Proposal personnel options

You can maintain additional biography and degrees for a specific proposal's investigator(s), as described on the page  Maintain biography and degrees for proposal personnel.

Relation between departmental and proposal information
If the department's biographic and degree information for an investigator is updated after you create or copy a proposal, you will have to add the Word or PDF documents to the proposal's biographic and degree storage.

Select person

From the Coeus main menu:

  1. On the Departmental menu, select Personnel. The Person Search window appears.
  2. Enter the investigator's last name and other search criteria as needed, or look for more help on searching.
  3. When the Person window shows a list of investigators retrieved by your search criteria, on the Edit menu, select one of the options described above -- Display, Degree Info, or Biographical Info.

Display menu option

After you select the person and Edit menu option Display, the Person Detail window appears. Select one of the tabs -- Organization, Personal, Misc -- for the information you want to view. Use the Close button to exit.

Degree Info menu option

After you select the person and Edit menu option Degree Info, the Person Degree window appears.

Task

Access and entry steps

Add or modify degree information

On the Person Degree window, press Add or Modify. The Person Degree Detail window appears, showing the following information:

Degree type

Degree level. Select from pulldown list. Scroll down to view all choices.

Graduation Date

Enter dates month first. Examples: dec-31-2003, 12-31-2003, Dec-31-2003, dec/31/2003, etc.

Degree

Actual degree name -- M.S., M.A., etc.

Field of Study

Examples: Biology, Chemistry, etc.

Specialization

Specialization within field of study.

School

Name of school.

Id Code

Select organization identifier series from pulldown list -- Dun & Bradstreet, Dun & Bradstreet +4, etc.

Id

Identifier within the ID Code series.

Enter or change information and press OK. When the Person Detail window reappears, press OK again.

Delete degree information

On the Person Degree window, highlight the degree to delete and press Delete. When the confirmation window appears, press Yes. The Person Degree window reappears, with the degree deleted. Press OK to close the window and save your changes.

Biographical Info menu option

After you select the person and Edit menu option Biographical Info, the Biography for ... window appears. On this window, you can add or delete Word and PDF documents -- resumes, project activity lists, etc.

Import a PDF or Word document into Coeus

  1. On the Biography for ... window, Edit menu, select Add or use the toolbar button. A blank line appears in the lower section.
  2. In the Description field, enter a title for the document.
  3. On the Edit menu, select Word files or PDF files and "Save to database". (Word and PDF documents are incorporated into the Coeus database.) A selection window appears showing the files on your computer.
  4. Select the Word or PDF file to import. The PDF or Word icon appears in the first or second position of the highlighted line.

Edit Coeus Word document -- Mac users

Edit and save a Word document on your computer, then import it into Coeus.

To edit a Word document already in Coeus, export the document to your computer -- as described below under Export a PDF or Word document, make changes, and import into Coeus again.

Edit Word document in Coeus -- Windows users

  1. On the Biography for ... window, highlight the line for the document to edit.
  2. On the Edit menu, select Edit Word source or select the Word icon for the document. The Word application opens the file in edit mode.
  3. When you have completed your edits, save your changes and exit from Word.

Create Word document in Coeus -- Windows users

  1. On the Biography for ... window, Edit menu, select Add or use the toolbar button. A line appears for a new document.
  2. In the Description field, enter a title for the document.
  3. Be sure that the Description field is highlighted.
  4. On the Edit menu, select Edit Word source, or use the toolbar button. A message appears saying that no source data exists and asks if you want to enter data.
  5. Select Yes. The Word application opens a new file in edit mode.
  6. When you have completed your edits, save your changes and exit from Word.

View a PDF or Word document
On the Biography for ... window, double click on the PDF or Word icon on the line for the document you want to view.

Export a PDF or Word document to your computer

  1. On the Biography for ... window, select the Word or PDF icon on the line for the document to export.
  2. On the Edit menu, select: PDF Files or Word Files and "Save to Disk".
  3. When the export destination selection window opens, select the location on your computer for the document.

Delete a document
On the Biography for ... window, highlight the line or icon for the document you want to delete and select Delete. The document is deleted from Coeus.

Exit

Use the close button to exit from the Person window.
