The Laboratory for Nuclear Science (LNS) works to determine the fundamental laws of nature, understand the large-scale structure of the universe, explore the high energy frontier, understand atomic nuclei, understand plasma dynamics, and develop new research tools. LNS is committed to mastery of a rigorous curriculum in fundamental principles, then to do research in forefront areas, often involving significant participation in major research facilities around the world, launching careers in academia, research laboratories, government and industry. And finally, LNS provides the intellectual foundation and physical infrastructure for developments in such diverse fields as nuclear medicine and radiation therapies, cargo screening for dangerous materials, and modeling complex systems such as financial markets, as well as to advise the government on policy related to energy, security, and science.
POSITION OVERVIEW: Under minimal supervision, provide comprehensive administrative support to active faculty members, postdocs, grad students and staff at LNS. They will demonstrate exceptional attention to detail with discretion and independent judgment in considering a course of action for a wide variety of matters. This person will demonstrate a high level of initiative, taking action to address needs and anticipate consequences of actions, potential problems, or opportunities for change. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts.
PRINCIPAL DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS):
· Will act as a primary contact for assigned professors as well as liaison between PIs and all stakeholders, internal and external, ensuring any inquiries are addressed and resolved according to department policy and procedures
· Perform a wide variety of general office tasks, including but not limited to, calendar management, answering phones, maintaining listservs, ordering supplies, coordinating events, basic website management, photocopying, editing documents for accuracy, overseeing the maintenance of office equipment and property inventory, setting up and maintaining common areas, and solving basic computer issues
· General finance duties, including but not limited to managing reimbursements, processing requisitions, purchase orders and requests for payment and invoices, managing purchase card (Pcard) transactions
· Maintain filing systems such as travel vouchers and research grants/contracts, monitor for efficiency, initiate changes and updates to manuals and procedures for own area
· Coordinate events, including but not limited to preparing agendas, invitations, materials, food, space, AV, and advertising
· Respond to inquiries that may be complex and require research while ensuring inquiries are addressed and resolved in a timely manner, escalating as necessary
· Coordinate the arrival of new students, staff and scholars by processing personnel/financial transactions in close collaboration with Human Resources
· Ensure lab members are up to date on various trainings and certifications, as needed · May maintain faculty CVs, publication lists, NSF Biosketch, etc.
· May prepare complex itineraries for multiple constituents, including travel arrangements, meeting schedules, reserving space, scheduling presenters, ordering refreshments, preparing materials, and advertising
· May monitor and coordinate the work of students and temporary staff
· Other duties as assigned
· High School diploma
· At least three years of administrative experience, preferably in higher education
· Strong Microsoft Office Suite experience
· Interest and ability to resolve problems in a thorough and timely manner
· Ability to juggle multiple tasks and meet deadlines without compromising quality
· Scheduling and calendar management skills
· Exceedingly fine attention to detail and the ability to proactively anticipate issues and complications before they arise
· Strong written and oral communication skills; excellent spelling, punctuation, and grammar
· Superior organizational skills
· Strong interpersonal skills
· Strong data entry skills and capacity to use databases regularly
· Ability to work under minimal supervision and be able to anticipate and act on the needs of the direct managers and other stakeholders
· Demonstrated skill dealing with confidential material
· Resourcefulness, tact, good judgment, and the ability to manage a high volume of work
· Ability to identify and quickly learn new applications as necessary
· Ability to lift and move up to 25 lbs.
· Bachelor’s degree
· MIT experience or experience in higher education
