Have someone who is *not* an officer be the main person in charge of the hackathon. If that fails, then an officer can take charge.\

Historic note: We ran the first two versions of this on our own. CMS/W used to run a Media Spectacle on their own (fun fact: SCTV won audience favorite for [Prototype](https://www.youtube.com/watch?v=GsAsl6D-nbA) one year)\
Both events were losing steam. In Spring of 2018, we teamed up together to smush the two events into one. It's a win-win situation. The "hackathon" style makes it super fun and CMS/W has money to use and Becky's great at doing logistics.


Theme: IHTFP\
Constraints:

* 2 min or less (not including credits)
* Must be filmed all during this weekend
* Any outside sources (ie. music) must be freely available CC-BY, CC-BY-NC, CC0, etc. (not CC with -ND though)

Ideally, two people to help out per group per time slot. Time slots should be an hour long. Leave 30 min between time slots for travel (and as an overflow buffer).

Student Cable members may participate. They will not get additional time with equipment. They must sign up to participate during one of the filming slots unless they are doing a mobile-only or only using their own equipment. They must sign up to help film at least one other slot for a different group. 

Not having editing slots worked out really well. We can let them know they can use the cluster in 56. They can email us ahead of time for one-on-ones if they think they need it. Otherwise, email support throughout the day?\
**Need to include instructions on how to render video in FCP X and AP so that we get the right quality.**

Send us files by Dropbox, Google Drive, etc. Also include a title and a short (couple of sentences) description to go along with the video. Will be read at the showcase & published on YouTube.

Deadline to sign up is Friday night before the event. However we will publish a fake “deadline” for one week before. On the fake deadline, we will release filming slot sign ups, first come first serve. You can have whatever signup system you'd like, in the past we've used Google Sheets and Signup Genius (has a nicer interface). 

Goal: 10 (double digits!) videos at the showcase. This means we need to recruit at least 15 teams.

## Publicity

Update the main page of the website to include information about this. **Ask someone to write quickguide to website.**

Suggested publicity schedule: 

* 4 Weeks Out: discuss at meeting; send out 1 dormspam; send email to studentcable@
* 3 Weeks Out: send out 1 dormspam; have Becky send to department lists
* 2 Weeks Out: send out 2 dormspam; send email to studentcable@; put add in Tech; send preliminary guidelines email to participants
* 1 Week Out: send out 2 dormspam; send ~~desparate~~ email to studentcable@; put add in Tech; send confirmation email to participants
* Thursday: send out email about Friday pizza part & confirmation details to participants
* Friday: send out emails to make sure you have heard from all participants on either Thursday or Friday
* Sunday (morning): send out emails about showcase

### Example "IHTFP Hackathon Preliminary Guidelines"
Hello IHTFP Hackathon participants! We're excited to have you join us for this year's hackathon on April 28-29. A few details about the event:

- As a hackathon contestant, you are entitled to 1 hour of SCTV assistance with filming and use of their equipment. The sign-up is now open, first come, first served: *link here*

- Please email us by next Wednesday, April 25, with:
1. confirmation of your team
2. a phone # in case we need to reach you during the weekend
3. a location on main campus you need to film

** if your team wants to use a non-public space (ie. a classroom) you need to let us know by Tuesday so we can see if it's available. There are no guarantees we will be able to get it, so you need to send an alternate as well. Although the SCTV crew can travel a bit with their equipment, we can't film more than 2 locations during a timeslot.

Music must be OK for us to post on YouTube:
* Public Domain (CC0)
* Creative Commons Attribution (BY)
* CC Attribution + Share Alike (BY-SA)
* CC Noncommercial (BY-NC)
* CC Attribution + Share Alike + Noncommercial (BY-SA-NC)
* All footage must be shot during the hackathon
* Video length must be less than 2min (excluding credits)
* Video assistance can ONLY provided on main campus
* Final MP4 video must be shared on Dropbox to sctv@mit.edu by 5pm, Sun, April 29
