Requirements for Non-MIT Event Planners

Outside organizations or professional societies are welcome to hold conferences on campus provided the following:

  • a current MIT faculty or staff member, with the endorsement of their department head, serves as the event sponsor,
  • the nature of the event is consistent with the academic mission of MIT, and
  • the event is approved by the Institute's Facilities Use Committee

Event Sponsor

Each outside group must have as a sponsor, a recognized MIT organization or a member of the faculty or staff. The MIT sponsor is responsible for maintaining a continuing liaison between the outside group and the Conference Services Office throughout the planning and implementation stages of the event. It is the responsibility of the sponsor to assure that the organization, its members, and the program adhere to the generally accepted academic and communal standards of the Institute. The sponsor is financially liable for the program in the event the outside organization is delinquent in this regard.
