Using the system

Q

I need to have my supervisor approve the proof before I can place the order. How can I send a copy of the proof to someone else?

A

Save the PDF proof to your desktop and then make a printout or email the PDF as an attachment. Please remember to save your shopping cart; otherwise, all data entered will be lost. Once the proof has been approved, return to "Saved Shopping Carts" and complete the order.

Q

I entered information for three lots of business cards into the online system but needed to exit the system before I was able to fully process my order through SAP. Where did all of my data go?

A

Please be advised that you need to save order information in your shopping cart if you plan to exit the system before completing your order or if you need to forward proofs to others for review.

Q

I'm able to complete the data entry and proofing steps for my online order, but I'm unable to complete the SAP requisitioning step successfully. What should I do?

A

Please contact the Help Desk at 617.253.1101 or computing-help@mit.edu.

Q

How can I check on the status of my order? Can I do this online?

A

You can do so online after a purchase order number has been generated for the requisition issued as part of your order. Once you know that a PO number has been issued, log onto the Ambit Press online catalog and locate the red "Order Manager" button in the main navigation. Click on "Order Status" from the options in the pull-down menu. You will now be prompted to enter information into search boxes (date of order, order number, etc.) to help locate your order. Once the system locates your order, you will see line items such as "New Order," "Order Accepted," and "Work in Progress," along with the date these actions took place.

Q

What if I review my PDF proof printout soon after placing my order and realize there's a typo?

A

As soon as you can, please email the Ambit Press help team at ecat.ambit@ambitpress.com. Let them know that there is an error on your order that needs to be fixed before printing and detail what that change is. There may be additional charges to make these edits.

Q

Can someone come to my office to walk me through the system in person?

A

Yes, please contact eCAT3 team at ecat.ambit@ambitpress.com for assistance.

Q

Designs and logos

Q

Can I order letterhead from one design and business cards from another?

A

You should stay within one design suite. The layouts of the three components (business cards, letterhead, and envelopes) contain design elements that coordinate the whole package.

Q

About a year ago, I ordered letterhead and envelopes using a similar layout to what is now Design 1, but with a different MIT logo. What do I do now?

A

When you have depleted your current supply, we recommend that you select from the three new designs offered. The logo you refer to was an interim placeholder while the official logo design was in development.

Q

What does my department currently order?

A

Please contact the eCAT3 team at ecat.ambit@ambitpress.com and they will check their database for you.

Q

My department has its own logo. Can I order business papers using my department's logo online?

A

The eCAT3 team will assist offices and departments with the creation of custom catalogs for approved departmental designs.

Q

How can I integrate my department's logo with the new MIT identity?

A

If you would like to develop a custom design, integrating your logo with the Institute graphic identity, contact the eCAT3 team at ecat.ambit@ambitpress.com.

Q

Can I order any paper stock?

A

The online system offers two paper choices; the MIT bond in white or natural white. There are many benefits to using the MIT bond:

  • The MIT bond is made from 100% recycled paper, supporting MIT's larger environmental initiatives here on campus.

  • Matching second sheets can be ordered online from the Staples eCAT3 catalog. MIT Bond White item number is 908936 and MIT Bond Natural White item number is 908938.

  • Using the official watermarked bond gives your business correspondence the official connection to MIT. The simplified MIT seal featured in the watermark offers a bit of MIT's history when coupled with the new MIT logo printed on the letterhead.

Q

A

Currently, letterhead, #10 envelopes, business cards in three design options are offered, as well as notepad, large envelopes and mailing label. In the next phase, we plan to include additional products such as pocket folders and invitation packages.
