Application Procedure, Deadlines, and Rates

On-campus housing may only be requested by those who have registered for the conference. Conference and housing payments must be issued separately. All applications for housing must be made in advance of the conference. Housing applications cannot be processed on-site. Applications for housing will be accepted until Friday, May 13, 2005 or until the limited number of rooms available is sold out--whichever comes first. Due to the large number of on-campus housing applications, early registration is recommended.

Payment for accommodations must be made at the time of application; applications submitted without payment will not be processed. At this time, we are only able to accept payments made by check in US dollars; drawn on a US bank, however we are looking into the possibility of accepting credit card payments. More information will be available on the application in March 2005.

Room Rates

Session 1 (June 25 – July 16), Conant Hall or Richards Hall, single occupancy only:

Session 2 (July 17 – August 7), Conant Hall, single occupancy only:

Full Period (June 25 – August 7), Conant Hall, single occupancy only:

Rooms are not available for periods other than the sessions indicated and no fee reduction will be offered for guests who do not stay for a full session.

Housing application forms are processed in the order in which they are received. All reservations and changes must be submitted in writing; telephone or on-line requests are not accepted.

Within one month of applying, guests will receive a written confirmation of accommodations. Approximately one week prior to arrival, guests will receive an email with the address, telephone number and location of their residence hall assignment. This confirmation must be presented to the desk staff upon arrival. GSAS Housing Services retains the right to refuse entry to guests without proper identification.

Room Offerings

Harvard University will be offering rooms for the Summer Linguistics Institute in Conant Hall and Richards Hall, located near the Harvard Law School campus, just north of the Science Center.

Rooms will be offered in three or six-week blocks for the following dates only:

Session 1:

Saturday, June 25 – Saturday, July 16 (Richards Hall and Conant Hall)

Session 2:

Sunday, July 17 – Sunday, August 7 (Conant Hall only)

Full Period:

Saturday, June 25 – Sunday, August 7 (Conant Hall only)


Priority for rooms in Conant Hall will be given to participants requiring housing for the full six-week period.

About the Residence Halls

All rooms are single occupancy only and are furnished with a twin bed, desk, desk chair, bookcase and closet. Doubles are not available, nor are cots or extra beds.

Both Richards Hall and Conant Hall have shared bathroom facilities. Rooms with private baths are not available. Each floor has one shared bathroom, however, bathrooms are designated for single sex use. Thus, guests may be required to use the bathroom on the floor above or below the floor on which they reside.

Rooms in Conant Hall will be air-conditioned. Rooms in Richards Hall are not air-conditioned, however, a fan will be provided.

There are kitchens on each floor of each building. Kitchens are equipped with a microwave, stove, oven, and refrigerator for use by participants. In addition, there are lounges on each floor of Richards Hall and a large lounge on the first floor of Conant Hall for informal gathering.

Each building has vending machines and coin-operated laundry machines on the lower level.

Please note that neither building is equipped with an elevator.

Construction Information

Please note that Conant Hall is located immediately adjacent to a major construction site. We do not yet have a project schedule for the summer of 2005, but anticipate significant noise, vibration and dust associated with the construction. Air conditioners have been installed in all rooms in Conant Hall to help filter out construction dust and muffle the noise of the construction work, however, we anticipate that the level of noise caused by the construction would prevent most individuals from sleeping past the start of construction hours.

Construction hours for the project are currently scheduled from 7:00 AM – 3:30 PM, Monday through Friday. City of Cambridge regulations permit construction work from 7:00 AM – 6:00 PM, Monday – Friday, and 9:00 AM – 6:00 PM on Saturdays, so the scheduled hours could be increased if the project falls behind. Emergency work is sometimes completed in the evenings through a special permit.

The room rates we are offering to guests in Conant Hall have been significantly reduced from our standard rates in recognition of the inconvenience caused by the building's proximity to a construction site.

General Amenities and Information

Guests are provided with sheets, a blanket, a pillow, 2 towels and a face cloth. Toiletries are not provided. Rooms are not serviced during a participant's stay; however, fresh linens and towels are available weekly during designated linen exchange hours each weekend.

Each room has an active telephone line that allows outgoing campus, local, and long-distance calls (collect or with use of credit card), and all incoming calls. Telephone sets are not provided but are available for guests to borrow from GSAS Housing Services on a first-come, first-served basis.

In-room Internet connections may be available with advance registration for a fee. Additional information will be available on the application in March 2005.

Please note that smoking is only allowed outside of the residence halls.

Parking

On-campus parking spaces are limited and are available only through Harvard University Parking Services. Harvard University Parking Services is located at 3 Bow Street in Cambridge and can be reached at 617-495-3772 or parking@harvard.edu.

**Early check-in on Saturday, July 16 may be available for guests participating in weekend workshops or mini-conferences and will be offered on a space-available basis. There will be a spot on the housing application to indicate if you are interested in this possibility.

Check-in for guests staying for the full six-week period will be the same as Session 1. Checkout for guests staying for the full six-week period will be the same as Session 2.

Check-in is not available on weekends outside of the dates and times listed. With advance arrangement, guests arriving on a weekday (after the scheduled check-in weekend) may check-in at the GSAS Housing Services office between 9AM and 5PM, Monday - Friday. The office is located in Lehman Hall in Harvard Yard, a 10-minute walk from the residence halls. Guests who cannot arrive during the designated check-in hours or normal office hours (Monday – Friday, 9AM – 5PM) should make arrangements to stay elsewhere until the next scheduled check-in period or normal office hour.

We are not able to store luggage or other belongings after checkout on the date of departure.

Cancellation Policies

All cancellations of on-campus housing must be sent in writing (via e-mail) to GSAS Housing Services. Written cancellations received on or before Friday, May 13, 2005 will receive a full refund less a $25 processing fee. After May 13 th refunds will be made less a $50 penalty provided the cancellation is received no later than 2 weeks prior to the scheduled date of arrival. No refunds (full or partial) will be granted for cancellations received within 2 weeks of the scheduled arrival date or thereafter, nor for any nights the room is not occupied during a reservation period.
