Add Room Step 3: Change Room Information
To add a room, you will move through three screens:
- Search for Room screen: lets you find and choose the physical location
(building and room number) of the new room;
- Add Room screen: lets you add some basic characteristics, such as Room
Status, Inspection Status. and Room Description, to the new room;
- Change Room Information screen: is where you add Hazards and Contacts
to your new room.
The Change Room Information screen displays four new sections:
- Roomset Roles--The roomset roles were defined when the
roomset was created. These roles may not be changed except to add
an emergency phone number and indicate whether the EHS number and home number
should be displayed on the Green Card.
- Room Roles--Clicking on the Add a Person button
takes you to a new window where you can choose a Secondary PI or a Room Representative
- Emergency Contacts--The PI and EHS Representative for the Roomset
are default emergency contacts. You can remove them from the list (click
the Remove button) or add new names to the list (click the Add
a Person button).
- Hazardous Material and Safety Equipement--From this table
you can select the hazardous materials and safety equipment in the room and where
necessary, provide quantities. You may also copy this information from another
room. Select the room from which you want to copy the hazards from the drop-down
menu and click Copy Hazards. Once copied, you may modify these hazards
if necessary.
Note: you will only see the Copy hazards button if you're authorized to make changes.
When you have provided all the information, click Save Changes.
After you save your changes, you can either click on:
- Return to the Roomset --Returns you to the Roomset
page where you can continue to add more rooms to the roomset.
- Display Green Card--Acrobat Reader opens and dsiplays the Green Card PDF that you can
print.

Subroom: a room that is divided into distinct spaces that are assigned to one PI i.e. no secondary PI is assigned. Each space (subroom) is registered in the system along with its contacts and hazards and must be inspected separately.
