Create a Roomset
What is a Roomset?
A Roomset is a collection of information about a group of
rooms with the same Principal Investigator (PI) in one Department, Lab, or Center
(DLC). Often these roomsets are laboratories, but they could also be
other groups of rooms. Roomsets should be grouped so that they are easy to
be inspected at one time.
Note: In this context, the Laboratory for Computer Science,
Lincoln Lab, and the Media Lab, to name a few, are DLCs, not small
"l" labs. However, within
their facilities, they may have any number of "labs" that
are Room Sets.
Create a Roomset
On this page, you collect the information that describes the entire roomset.
On subsequent pages, you will add details about individual rooms in
the roomset.
- You must enter information in all required (*) fields.
PI, DLC Affiliation, EHS Rep, and
SARA Reporter: click on the Search binoculars to
the right of the field.
When you complete the search, the selected name will be added to the
appropriate field.
- Roomset Status: Active
means that the room is being used; this is the default. To change the status after you've created a roomset, go to the Roomset: change/view/screen.
- Roomset name: Enter a name for the roomset.
- Roomset description: (optional) Enter any description you choose or leave blank.
- Click on the Save button.
Result: A confirming message appears, "Roomset created," and three new buttons appear at the top of the screen:

Create New: resets the screen so you can create a new roomset.
- Edit Roomset: takes you to the Roomset: Change/Display
screen where you can edit this roomset.
- Add Room(s): takes you to the Room: Create/Change/Display
screen where you can add rooms to this roomset.
- To exit this or any other SAPweb application, click on the Home link
in the upper right corner of the screen.
Search for DLC
To find your DLC (Department, Lab or Center):
- Click the binoculars to search.
Result: You'll see a list of all the DLCs you are authorized to access.
- Click on the DLC you want to choose.
Result: You return to the Create a Roomset
page and the name of the DLC appears
in the appropriate field.
Search for a Person
To find a person:
- Enter either the person's first or last name or full name
in the appropriate fields. Use either upper or lower case; this search
is not case sensitive.
Wild cards: If you are not sure of the spelling of a
name, you may use a "wild card" asterisk (*). For
example, if you are looking
for a PI named Smith, but you are not really sure whether it is Smith or
Smythe, in the Last Name field, type sm*. This
should result in a list of all last names beginning with
"sm" from which
you can then pick the correct PI.
- Click Search.
Result: A list of all the people
fitting your search query appears, below the
search fields.
- From the list, click on the person you want to choose.
Result: You return to the Create a PI Roomset
page and the name
will appear in the appropriate field.
