The Inbox Application – A Configurable Document Management System

Project Abstract:

In the Trade and Logistics domain there are a number of services and solutions that facilitate the trade communication, coordination and collaboration for seamless information sharing and exchange. In this process there are a number of documents that are exchanged between traders, freight forwarders, third party logistics providers etc. The documents are exchanged in various file formats (e.g. XML, text, EDI –Electronic Data Exchange) and there are different document types. Every document type has domain significance for example legal document, Bill document, Trade document etc.. The application portal services also support transformation between the various types of documents. But currently there is no global independent system, which will enable users to receive documents, transform documents and track the status of the documents at the user level. Thus there is a need for an independent document management system that tracks documents, right from the moment it is received by the user and keeps track of the transformation history of the documents. The document Management System called “Inbox Application” which has been designed and implemented as part of this project, achieves exactly this purpose of interfacing with various applications and providing an independent document management system that will enable the user to keep track of documents and perform various operations on them. The users can view all the documents he has received through the user interface when he logs in and he can perform operations like accept, reject, view, download, search and transform on the documents. There is support for back end transformations where one can configure a workflow using a set up table, which will facilitate automated transformations of documents based on the prior configuration. This application has been implemented on the J2EE framework using technologies like Java, Servlets, EJB, JSP, and Data Access Objects (DAO). Thus we can see that this Inbox application is a useful tool for tracking documents and support easy integration with various applications.
