DLC-Based Awards
The second part of the School-based Infinite Mile award program will be implemented at the DLC level to provide the opportunity for local units to give non-financial awards on an immediate basis (rather than based on published criteria) either to individuals or teams. These non-financial awards may take many forms, including award dinners, luncheons, celebrations, plaques and trophies, gifts and gift certificates, none of which should exceed a purchase price of $100. DLCs will need to use their own funds for purchasing these non-financial awards, but can be reimbursed from their budget allocation through HR. Budget allocations are equivalent to $75 per eligible staff member. This eligible population includes all non-academic staff and is based on the FASIS October count. Note to DLC administrators:
The procedure for procuring non-financial awards is as follows:
- Complete Request for Payment form (to be made out to either individual purchasing awards or vendor)
- In box marked Explanation of Payment, state that purchase is part of MIT Rewards and Recognition Program
- In box marked Charge Information, include both department cost center and Rewards and Recognition general ledger account number (object code or cost element) #420321
- Forward to Accounts Payable for processing
On a quarterly basis (or more frequently if desired), a Request for Reimbursement Form (a printable pdf form) which will serve as a record of expenses, must be completed and submitted to the Rewards and Recognition Program Administrator, who will coordinate reimbursement via journal voucher. Note that all receipts for purchases must be attached for reimbursement to occur.
