LABORATORY FOR NUCLEAR SCIENCE OVERVIEW::

The Laboratory for Nuclear Science (LNS) works to determine the fundamental laws of nature, understand the large-scale structure of the universe, explore the high energy frontier, understand atomic nuclei, understand plasma dynamics, and develop new research tools. LNS is committed to mastery of a rigorous curriculum in fundamental principles, then to do research in forefront areas, often involving significant participation in major research facilities around the world, launching careers in academia, research laboratories, government and industry. And finally, to provide the intellectual foundation and physical infrastructure for developments in such diverse fields as nuclear medicine and radiation therapies, cargo screening for dangerous materials, and modeling complex systems such as financial markets, as well as to advise the government on policy related to energy, security, and science.

POSITION OVERVIEW STATEMENT

The Institute for Artificial Intelligence and Fundamental Interactions (IAIFI) seeks a motivated Project Coordinator interested in helping to enable cutting edge science. The IAIFI is an NSF-funded Artificial Intelligence (AI) Institute involving researchers at MIT, Harvard, Northeastern, and Tufts. The Project Coordinator will have complex and diverse duties in supporting the IAIFI leadership to implement key projects across IAIFI, with a particular focus on broader impact objectives, such as public engagement, community building, and diversity, equity, and inclusion. This person will assist with communications, expense tracking, report preparation, and will work closely with the project manager on the implementation of projects within established timelines. The ideal candidate will possess the strong organization and communication skills essential for coordinating with a variety of stakeholders across several universities.

PRINCIPAL DUTIES AND RESPONSIBILITIES
  • Provides timely, transparent and efficient guidance to stakeholders, both internal and external, on a wide variety of matters and inquiries, escalating as necessary
  • Coordinates across teams on day-to-day operational activities for the IAIFI program, including but not limited to: event management, monitoring project scope and schedules, auditing for compliance, identifying and reporting issues (e.g. overrunning budget or project timeline problems), and performing administrative research and analysis
  • Manages administrative updates to tracking and communication tools, including but not limited to: mailing lists, websites, and personnel database
  • Contributes to broader impact objectives in coordination with the project manager, including but not limited to: public engagement, community building, and diversity, equity, and inclusion, in coordination with the project manager through proactive planning and administrative support
  • Coordinates and publicizes IAIFI events and meetings: booking space, ordering food, advertising events to mailing lists, and coordinating travel and schedules for visitors
  • Collects, audits and prepares data for progress and financial reporting
  • Prepares, edits and maintains presentation materials and reports
  • Contributes insight to program/project plans and strategy and engages in professional development to remain abreast of current trends and best practices in the field
  • Represents IAIFI’s vision, mission, and identity to external and internal stakeholders at meetings and events
  • May monitor and coordinate the work of students and temporary staff
  • Participates in special projects as assigned
  • Other duties as assigned

 

JOB REQUIREMENTS:
Required:
  • Bachelor’s degree in related field or equivalent experience
  • At least 2 years of administrative and/or program management experience
  • Expertise relating effectively with a variety of stakeholders and managing relationships across groups and locations
  • Strong time management skills
  • Excellent organizational, interpersonal, and communication skills, both verbal and written
  • Ability to prioritize tasks and meet deadlines
  • Strong attention to detail
  • Willingness to assume new responsibilities and learn new software as needed
  • The ability to set priorities, work effectively under the pressure of deadlines and deal with frequent interruptions
  • Ability to work both independently and as part of a team
  • Availability for evening and weekend for 4-5 events per year
Preferred:
  • Technical skills in computer programs such as Google suite, Smartsheet, Overleaf, Adobe, and/or GitHub, etc.
  • Database management experience
HYBRID SCHEDULE:

On campus 3-4 days per week
