The Laboratory for Nuclear Science (LNS) works to determine the fundamental laws of nature, understand the large-scale structure of the universe, explore the high energy frontier, understand atomic nuclei, understand plasma dynamics, and develop new research tools. POSITION OVERVIEW: Will act as first point of contact and wide-ranging, responsive, and transparent support for the human resources (HR) function. Will help to coordinate HR activities and special projects including, but not limited to, responding to inquiries, facilitating recruitment and onboarding, coordinating rewards and recognition, diversity and inclusion, performance management, and compensation. This person will handle complex and diverse duties for multiple projects and programs. They will demonstrate a high level of initiative, taking action to address needs and anticipate consequences of actions, potential problems, or opportunities for change. Requires excellent communication and interpersonal skills and ability to work under minimal supervision.
PRINCIPAL DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS): HR Operations – 50% Effort
· Interprets and advises faculty and staff on HR issues, policies, and procedures and referring complex issues to HR Administrator, as appropriate
· Completely and accurately prepare a variety of appointment transactions for all employee categories and visiting students (new hires, changes, terminations, leaves, etc.)
· Coordinate and prepare visa paperwork and documentation
· Facilitates recruitment processes: posting, scheduling, resume screening, interviewing, reference checking, and preparing interview and offer documentation
· Conducts new hire orientation and handles onboarding logistics
· Takes ownership of a variety of critical tracking mechanisms including, but not limited to, expiring appointments, visas, temporary employee appointments, FMLA and work accommodation requests
· Maintains personnel files, paper and online, to ensure compliance with applicable policies
· Stays abreast of latest trends and best practices and actively engage in professional development to continue to expand the skillset used to support the department
· Process and/or approve time sheets for students and staff, as needed
· Acts as backup on functions dedicated to the HR Administrator
· Other duties as assigned
SPECIAL PROJECTS – 50% EFFORT
· Develops, implements, and monitors HR project plans: plans, organizes, and prioritizes activities and processes to ensure successful and timely completion in close collaboration with manager
· Monitors project scope and schedule, identifying and reporting issues (e.g. overrunning budget or project timeline problems), and performing research and analysis
· Establishes timelines and action steps and works with others to meet objectives and deadlines. Serves as a contact with internal and/or external stakeholders to ensure achievement of deliverables.
· Compiles data and analyzes findings, reporting to management on program/project success and providing recommendations on next steps, how to resolve issues, etc.
· Prepares required project documentation and reporting. Monitors, reconciles, and controls program/project expenses. Makes vendor and purchasing decisions.
· Develop, coordinate and implement all aspects of the rewards and recognition program
· Creates and edits templates, tools, reports, and other work forms to streamline processes
· Supports complex processes including, but not limited to, compensation reviews, annual salary reviews, and outside professional activities reporting
· May contribute to and help to lead trainings for staff
· Serves on various committees and/or projects with permission from manager
· Other duties and projects as assigned
· Bachelor’s degree in related field or equivalent experience
· At least two years of project management experience, preferably in an HR environment
· General knowledge of the HR function, including employment law, recruitment, employee relations, compensation, and onboarding
· Strong Microsoft Office Suite experience
· Exceedingly fine attention to detail and the ability to proactively anticipate issues and complications to processes
· Strong written and oral communication skills; excellent spelling, punctuation, and grammar
· The ability to efficiently distill, interpret and convey complicated administrative processes both verbally and in writing
· Excellent organizational, interpersonal, and communication skills
· Ability to manage a variety of tasks concurrently, work independently and remain flexible as situations demand without sacrificing quality of work
· Tact, diplomacy, and discretion with confidential information
· Interest and ability to resolve problems in a thorough and timely manner
· Ability to work under minimal supervision and to anticipate and act on the needs of the direct managers and other stakeholders
· Ability to manage a high volume of work
· Ability to remain engaged, responsive and accessible for the entirety of the prescribed work hours
