Many types of events require different needs
Facilities is one of several providers of event services on campus. The size and location of your event will effect who is best to help you with executing it. For example, some groups, like Campus Activities Complex (CAC), can help you with an event that is planned to take place in a certain area on campus. Their Event Planning Guide provides lots of information on holding an event at MIT.
Due to the limited amount of storage space on campus, many internal service providers are unable to supply you with a large amount of tables. In cases where you need more than a few tables, you may consider contacting one of MIT’s vendor partners. A few of those event providers are: Dame Associates, Festive Occasions and Peterson Party Center. Both companies are listed as External Vendors in SAPweb.
Custodial Services provides assistance with events that are held in the Main Group, those buildings that are in the center of the campus. The MIT Movers can deliver podiums and help with set up of chairs and tables in a location inside a building that is not in the Main Group.
Grounds Services supports events that are held outside. They can provide special planters, as well as recycling and trash containers.
To order services from Custodial Services, the Movers and Grounds, use the “Internal Vendor” section in SAP. Please make requests at least 3-5 days in advance. Below are services that these three groups can provide.
Basic Services
- Deliver/set up/remove Commencement seating and podium
- Pick up and deliver charitable donations
Special Services (Requires a Fee. Select Internal Provider in SAP.)
- Deliver/set up/remove chairs and tables
- Rearrange existing furniture for special events
- Clean up before and after special events
- Add temporary plantings for special events
- Supply trash barrels and recycling containers
Items available in limited quantities for events (please order at least five days in advance)
- 6-foot rectangular tables (pending availability and quantities requested)
- Folding chairs (pending availability and quantities requested)
- Coat racks
- Hangers
- Trash barrels
- Recycling bins (for paper)
- Recycling bins (for bottles, cans, or plastic)
